Partou Childcare, an independent organization with more than 700 locations in the Netherlands, has teamed up with Beyonder to revolutionize the way childcare is planned and managed.

Planning the ideal group structure and managing child planning is a complex puzzle. The process needs to take factors into account such as expected intake, quality requirements, and the caregiver-to-child ratio.

Directing this process required significant efforts from planners and location managers, and it often took a long time before there was clarity about available spots for new children. The time-consuming process did not always align with the customer expectations of parents or the efficiency goals of Partou.

The Solution

Together, we developed and implemented an easy-to-use self-service portal that is customizable to specific planning needs. The goal was to design a smart real-time automatic planner and make the customer journey for parents fully digital and self-service.

The system ensures a fully automated planning process. Group allocations are calculated in real-time based on location, legal requirements, and parents' specific preferences. Any changes in the plan are automatically optimized for availability, ensuring a flawless and efficient process.

Through the digital platform in the MijnPartou environment, parents gain direct access to the planning module. Here, they can easily see which childcare locations are available, including prices. The advanced algorithm calculates the availability for all locations, allowing parents to easily choose an option that suits their personal preferences.

Real-Time Digital Convenience

The system allows parents to search for childcare, book a tour, sign the contract digitally, and set up a direct debit authorization—all from their mobile phone in just a few minutes. This quick and easy process not only reduces administrative burdens but also increases the satisfaction of parents who are accustomed to modern online services.

Automated Waitlist Functionality

The waitlist management has also been fully automated. Parents can manage their spot on the waitlist themselves and automatically receive a notification when a spot becomes available. This reduces the waiting time for parents and saves time for Partou’s staff.
